    Article summary

In DoordaOnline, dashboard subscriptions allow you to automatically share dashboards with your team on a regular schedule via email, Slack, or webhooks. This helps ensure that the right people stay informed without needing to log in or manually run reports.

    Why Use Dashboard Subscriptions?

    • Keep team members updated on key metrics.

    • Automate the distribution of reports.

    • Deliver insights directly to users' inboxes or messaging platforms.

    • Ensure consistent visibility of performance data.

    Who Can Create Subscriptions?

To set up a subscription, you need:

    • Access to the dashboard you want to subscribe to.

    • Permission to add subscriptions to that dashboard’s collection.

    • If sending to a group or channel, ensure it’s configured correctly in the admin settings (e.g., Slack or webhook).

How to Set Up a Subscription

    1. Open the Dashboard

      • Navigate to the dashboard you want to subscribe to.

    2. Click the “Share” Icon

      • In the top-right corner of the dashboard, click the share menu and choose “Subscribe”.

    3. Choose Delivery Method

      • Select from:

        • Email

        • Slack

    4. Set Recipients

      • For email: enter email addresses or select from DoordaOnline groups.

      • For Slack: choose a user or channel.

    5. Configure Schedule

      • Set how often the subscription runs (e.g., daily, weekly, monthly).

      • Choose the specific time and time zone.

    6. Apply Dashboard Filters (Optional)

      • If your dashboard includes filters, you can preset specific values for the subscription. This way, each subscription can show a filtered view tailored to its audience.

    7. Save the Subscription

      • Click “Save” to finalise.

    Managing Subscriptions

    • Go to the dashboard and click the “...” menu.

    • Select “Manage Subscriptions”.

    • You can edit, delete, or pause existing subscriptions here.

Note: Admins can also view and manage all subscriptions across DoordaOnline from the admin panel.

    Best Practices

    • Use clear subject lines for email subscriptions (e.g., “Weekly Sales Overview”).

    • Keep the number of filters minimal for clarity.

    • Regularly review and update schedules to avoid sending outdated reports.

    Limitations and Considerations

    • Dashboard data must be available at the scheduled time.

    • If a query takes too long or fails, the subscription might not be delivered.

    • Webhook integrations may require developer setup.

By using dashboard subscriptions in DoordaOnline, you streamline reporting, reduce manual tasks, and ensure your team has the data it needs—right when it needs it.
